Time & Attendance - perfect for companies

The way of working in many companies is changing, not only in terms of the strategies they use, but also in the way they monitor employees and the way they keep track of the hours worked by employees (commonly known as time and attendance or access control).

What is time&attendance monitoring?

As we have said, it is the system by means of which a complete and exhaustive record can be kept of the hours the worker is at his or her post and how many times he or she leaves during the day. Although it was not as effective, this method has existed for years, but it was done manually by writing down the time of entry and exit with a pen on a piece of paper.

Thus, an electronic terminal is used to register users or workers. There are several types of devices that allow the identification of authorised persons:

- Fingerprint: the fingerprints of the workers or authorised persons are recorded and, once they have been memorised, they only have to put their finger on the reader to access and count the hours.

- Proximity card: by bringing these encoded cards close to a device, the worker's entry and exit will be recorded. The drawback of this method is the possibility of losing it or leaving it with someone else, so it is common to combine the previous system with this one (fingerprint + card).

- Keypad: each worker simply has a code that must be dialled on the corresponding device.

- Facial recognition: usually used in places where a higher level of security is required. The device memorises the structure of facial features, the iris of the eye, or the element we indicate.

Advantages of time and attendance

It is a method that is increasingly used, as it is beneficial for both the employees and the company itself, as less time is spent on managing schedules and checking in and out. Time and attendance is also a more direct and safer way to determine whether someone is performing their job and duties well or not.

In addition, it considerably increases the security of the site, as people who are not registered or properly identified will not be able to access the site.
The company can monitor absenteeism and know which workers are on time and which are not.

The worker, on the other hand, will have better time management and will be able to know more directly the company's work calendar, as well as to account for all the hours worked outside the office.

Is time and attendance compulsory for companies?

The new National Court ruling of October 2015 states that companies are obliged to keep a register of all their workers, with entry and exit times.

The ideal way to comply with this ruling is to install a time and attendance (or access control) system to be able to record the times of people entering and leaving the workplace. The advantages, as mentioned above, are many.

You can find this information in article 35.5 of the Workers' Statute (RDL 2/2015 of 23 October).
